These Terms govern your use of Duebox, a document intake and due-date management service for bills, invoices, receipts, contracts, renewals and related records.

1. Who operates Duebox

Duebox is operated by Fitness Investments Pty Ltd trading as Duebox.

2. Acceptance of these Terms

These Terms of Service govern your access to and use of Duebox.

By creating an account, accessing Duebox or using the service, you agree to these Terms. If you do not agree, you must not use Duebox.

3. The Duebox service

Duebox helps customers receive, upload, extract, organise, track, report and manage bills, invoices, receipts, contracts, renewals and related documents.

Duebox includes document intake, Review Queue, Dashboard, Calendar, Reports, Archive, workspace management, email forwarding and related tools.

4. Accounts, workspaces, users and roles

You are responsible for maintaining accurate account and workspace information and for controlling who has access to your workspaces.

Workspace owners and authorised users may be able to invite users, assign roles, view documents, update records and manage settings depending on their permissions.

You are responsible for activity that occurs under your account, except to the extent caused by Duebox's breach of these Terms or applicable law.

5. Your responsibilities

You must:

  • Use Duebox lawfully and only for legitimate purposes
  • Have the right to upload, scan, forward, store and process documents and related information
  • Keep your account credentials secure
  • Review extracted data before relying on it
  • Make your own decisions about payments, renewals, reporting, accounting and compliance
  • Ensure the information you enter into Duebox is accurate and up to date

6. Your content and licence to Duebox

You retain ownership of documents, data and content you upload, forward, enter or generate through Duebox.

You grant Duebox a limited right to host, store, back up, process, extract, display, transmit and otherwise use that content as needed to provide, secure, support and improve the service.

This licence ends when the content is deleted from Duebox, except where copies are retained for backup, audit, legal, security or operational reasons.

7. Automated extraction, OCR and AI

Duebox may use automated extraction, OCR and AI systems to read and structure uploaded or forwarded documents.

Extracted data may be wrong, incomplete, delayed or unavailable. You must verify due dates, amounts, payment status, supplier details, references, reports, exports and any other extracted or generated information before relying on it.

Duebox does not guarantee the accuracy of extracted data or that every document will be processed successfully.

8. No professional advice

Duebox is not an accounting, legal, tax, financial, payment or professional advisory service.

Information in Duebox is provided to help you organise and review documents. It is not a substitute for professional advice or your own verification.

9. Billing, subscriptions and plan limits

Paid plans are billed through Stripe. Stripe may collect and process payment information according to its own terms and privacy policy.

Plans may include limits, such as workspace limits, document limits or feature limits. We may update plan features and limits from time to time.

Subscriptions renew automatically unless cancelled before the next renewal date through the Stripe Customer Portal or another supported billing process.

If you cancel, access may continue until the end of the paid billing period where applicable. Some features may be limited or unavailable after cancellation, non-payment or plan expiry.

Refunds are handled according to applicable law and any stated Duebox or Stripe process. Unless required by law, fees already paid may be non-refundable.

10. Acceptable use

You must not:

  • Use Duebox for illegal, fraudulent, harmful or abusive activity
  • Upload malware, harmful code or content that infringes another person's rights
  • Attempt to bypass security, authentication, usage limits, rate limits or access controls
  • Interfere with the operation, integrity or availability of Duebox
  • Use Duebox to send spam or unauthorised communications
  • Reverse engineer, scrape or misuse the service except as permitted by law

11. Third-party services

Duebox relies on third-party services including Supabase, Vercel, Postmark, Stripe, Google/Gemini or other AI/OCR providers, and operational providers such as Upstash/Redis.

Third-party services may have their own terms, policies and availability. Duebox is not responsible for third-party services except to the extent required by law.

12. Availability and changes

We aim to provide a reliable service, but we do not guarantee uninterrupted, error-free or loss-free availability.

Duebox may change, suspend or discontinue parts of the service, including features, integrations and limits, where needed for product, security, legal or operational reasons.

13. Limitation of liability

To the maximum extent permitted by law, Duebox is not liable for indirect, consequential or special loss, loss of profit, missed payments, missed renewals, incorrect data extraction, business interruption or decisions made using the service.

Nothing in these Terms excludes, restricts or modifies rights that cannot be excluded under applicable law.

14. Suspension and termination

We may suspend or terminate access if you breach these Terms, fail to pay fees, create risk for Duebox or other users, or if required for legal, security or operational reasons.

You may stop using Duebox at any time. Some data may be retained where required for billing, audit, backup, legal, security or operational reasons.

15. Changes to these Terms

We may update these Terms from time to time. The updated version will be posted on this page with a revised date.

Your continued use of Duebox after an update means you accept the updated Terms to the extent permitted by law.

16. Governing law

These Terms are governed by the laws of New South Wales, Australia.

The courts of New South Wales, Australia have jurisdiction, subject to any rights you may have under applicable consumer or privacy laws.
